Vientic
Terms of service
Effective October 16, 2026. These terms govern your use of Vientic. They are written in plain language on purpose; where a sentence has a legal meaning, it is the plain meaning.
Our privacy policy explains how we handle personal data and is part of these terms.
The agreement
Vientic is operated as a sole proprietorship based in Seattle, Washington (“we”, “us”), at 2801 Alaskan Way, Seattle, WA 98121. By creating an account or using the service you (“the host”, “you”) agree to these terms. If you use Vientic for an organization, you confirm you may bind it, and “you” includes it.
Accounts
- You must be at least 18 and give us accurate information. One sign-up creates one workspace, which you own.
- You are responsible for keeping your password, magic-link emails and connected keys private, and for everything done through your account. Tell us at support@vientic.com if you believe it has been used without your permission.
- We send account emails (sign-up confirmation, magic links, password resets) to the address you gave us. Keep it current; it is how we reach you about these terms.
The service and plans
Vientic lets you bring guest lists in from Luma or a CSV, see each guest with their history at your events, score registrations against criteria you write, decide who is in, send those decisions back to Luma, and build a report of how the event went.
The service is offered in plans with usage limits, such as the number of events, guests, look-ups and scoring runs per month. The current limits are shown under Settings → Plan. When a limit is reached, the feature pauses until the month rolls over or the plan changes; an import that would exceed a limit is stopped before it runs, and nothing is silently dropped. We may change a plan’s limits with notice in advance, and a reduction takes effect at your next monthly cycle.
The product is early. Features may change, and the service may be unavailable from time to time. We will tell you about material changes to what the service does, and we will not materially reduce what a plan you are on includes without the notice above.
Your guest data
The guest lists, registration answers, LinkedIn URLs, notes and decisions you bring into Vientic are yours. You give us the permission needed to store and process them to provide the service, as described in the privacy policy, and nothing more. We do not use them to train AI models.
You confirm that, for every guest list you bring in:
- you collected it lawfully and may share it with a service provider like us;
- your guests have been told, on your event page or registration form, how their registration data will be used, including that it may be scored and that a LinkedIn profile they supply may be looked up;
- you will handle a guest’s access or erasure request that reaches you, and we will help you do it as described in the privacy policy.
For guest data you are the controller and we are your processor: you decide what is collected and why, and we act on your instructions. Our data processing agreement, which includes our list of subprocessors and incorporates the Standard Contractual Clauses for hosts in the European Economic Area, the United Kingdom and Switzerland, is part of these terms. A signed copy is available on request from support@vientic.com.
You can export any event’s guest list as a CSV at any time, and you can delete your account as described under Ending the agreement.
Luma and other integrations
- When you connect a Luma API key, you authorize us to read the guest lists of your Luma events and, only when you press Push, to update guests’ approval status in Luma on your behalf. Luma’s own terms govern your Luma account.
- Pushing decisions changes a live system. A pushed approval or decline becomes the guest’s status in Luma, and Luma may email the guest. We show you exactly which guests will be changed before you confirm, and we report each result afterwards, but the decision and its consequences are yours.
- Webhooks and calendar feeds are read-only. A feed from a partner’s calendar brings in that calendar’s events, not its guests.
- We rely on these services behaving as documented. If Luma changes or withdraws its API, the integration may stop working, and that is not a breach of these terms.
Scoring, look-ups and AI output
- Scores are suggestions. A score is produced by a language model from your criteria and the facts in the guest’s record, and is shown with its reasons so you can disagree. You make every admit or decline decision. Vientic never decides for you, and you must not present a score to a guest as our decision.
- Look-ups can be wrong. Profile data comes from third-party vendors reading public LinkedIn pages. It can be stale, incomplete or about a different person with a similar URL. We mark what is missing; we cannot certify what is there.
- Summaries and narratives are generated. A profile summary and a report narrative are written by a model and labeled as such. Read them before you rely on them or share them; you can edit a narrative before it is shared.
- Your criteria are yours. You must not write criteria that would have us score guests on a protected characteristic such as race, religion, sex, age, disability or national origin, or use Vientic in a way that unlawfully discriminates in who is admitted to an event.
Shared reports
A report is private until you turn on its share link. Anyone with the link can then read it; it is not indexed by search engines, and you can revoke the link at any time, after which it stops working for everyone. By default a shared report contains no guest names. If you choose to include names, you are responsible for having the right to publish them to whoever receives the link.
Acceptable use
You agree not to:
- bring in data about people you have no right to process, or use the service to build profiles of people who are not your event guests;
- use Vientic to harass, stalk or discriminate against anyone, or for any unlawful purpose;
- work around plan limits, share one account between organizations, or resell access;
- probe, scrape or overload the service, or try to reach another host’s data;
- upload files designed to break the importer, or content that is malicious.
We may suspend an account that we reasonably believe is breaking these rules, and will tell you why unless the law prevents it.
Fees
Vientic is free to use while it is in pilot. There is no payment flow in the product today, and we will never charge you without your express agreement to a paid plan. If we introduce paid plans we will publish the prices, give you notice in advance, and let you stay on a free plan or export your data and leave.
Ending the agreement
- By you. Delete your account under Settings → Account. The workspace is scheduled for permanent deletion 30 days later and you are signed out. Within those 30 days you can ask us to cancel the deletion; after it, the data is gone and cannot be recovered.
- By us. We may suspend or close an account for a breach of these terms, for non-payment where fees apply, or if we stop offering the service. If we stop offering the service we will give you notice and keep export working until then.
- Sections that by their nature should survive (your responsibilities for guest data, disclaimers, liability, indemnity, governing law) survive the end of the agreement.
Disclaimers
The service is provided “as is” and “as available”. To the extent the law allows, we make no warranty, express or implied, including of merchantability, fitness for a particular purpose or non-infringement. In particular we do not warrant that scores, looked-up profiles, summaries or narratives are accurate or complete, that the service will be uninterrupted or error-free, or that Luma or any other third-party service will keep working with it. Some jurisdictions do not allow some of these disclaimers, in which case they apply to the fullest extent permitted.
Limitation of liability
To the extent the law allows, neither of us is liable to the other for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, goodwill or data, however caused. Our total liability to you for everything arising out of the service or these terms is limited to the greater of the fees you paid us in the 12 months before the claim or US$100. These limits do not apply to fraud, intentional misconduct, gross negligence, death or personal injury, or anything else the law does not allow us to limit, and they do not limit your obligations under Your guest data and Indemnity.
Indemnity
You will defend us against, and pay the damages and costs of, any third-party claim that arises from guest data you brought in without the right to, from decisions you pushed to Luma, from names you chose to publish in a shared report, or from your breach of these terms, except to the extent the claim results from our own breach or unlawful conduct. We will tell you promptly about such a claim and cooperate with you in defending it.
Governing law and disputes
These terms are governed by the laws of the State of Washington, without regard to its conflict-of-laws rules. Any dispute that we cannot resolve between us will be brought in the state or federal courts in King County, Washington, and both of us consent to their jurisdiction. Either of us may bring a claim in small-claims court where it qualifies. There is no arbitration clause and no class action waiver.
Changes to these terms
We may change these terms. For a material change we will email hosts before it takes effect, and continuing to use the service after that date means you accept the new terms. A change that does not reduce your rights may take effect when it is posted. The effective date at the top always says which version applies.
